Standard Booking Conditions for all stays at Westwood Lodge Ilkley Moor
We need these in order to be fair to everyone and to avoid any misunderstandings. We have attempted to make them as straightforward as possible. “Unit(s)” refer equally to a cottage or apartment.
1. Contract

A binding contract exists between us and you (the person(s) or company making the booking as soon as we issue our Confirmation Letter.

2. Bookings and Payment
Unless otherwise agreed with us, a non-refundable deposit is needed to secure your booking. This may be made by credit or debit card, by secure on-line booking, or by telephone. Alternatively, we will hold your reservation for three days to enable your cheque to reach us. The standard deposit is £100 per unit per week. Your optional cancellation scheme payment should be paid alongside your deposit.
To ensure plenty of time for processing and for funds to clear, your balance must arrive with us no later than one month before your arrival.
Where your deposit is paid by debit/ credit card, the balance will be collected by us from the same card not more than one month before your arrival, unless otherwise agreed with us, or it has been paid by other means before then.
Where a booking is made less than 6 weeks before your arrival, full payment is due immediately.
Non payment of your balance, unless queried before the due payment date, cheque(s) returned to us, or declination of your bank/ card issuer to allow the balance to be charged to your card where agreed, will be regarded as a cancellation by you. We would always try to contact you before taking any action in order to ascertain your intentions before taking further action.
Payment for any additional services provided must be made by you before departure, including non-settlement by any member of your party
3. 

Cancellation, Postponement or Curtailment by you

Any cancellation, postponement or curtailment for whatever reason must be advised to us immediately. For your security, we will generally require details to be confirmed in writing.
Your deposit will be withheld in all circumstances and you will still be liable for the payment of your balance.
Both parties must make attempts to re-let the accommodation to a suitable person. In every case, if we are able to do so, in part or in whole, the resulting turnover will be deducted from your balance.
We offer a cancellation scheme. This is optional but recommended. In brief, for a small premium, you would not be liable for the above charges if you had to cancel for a reason covered by the scheme. Monies already paid (other than the cancellation scheme payment itself) would generally be refunded.
If we have requested us to ask another supplier to provide services for you, you agree to pay any cancellation charges raised by them, if you cancel or postpone.
4.

Cancellation, Postponement or Curtailment by us

We never expect to have to do this. However, we reserve the right to cancel, postpone or curtail your booking if:-

Any major part of Westwood Lodge is closed or otherwise unavailable because of events outside our control including force majeure.
You (or we) become insolvent or the subject of a bankruptcy petition.
The booking might, in our opinion, damage the reputation of Westwood Lodge.
In such a case, any outstanding payment for services already provided (in part or whole) will become payable immediately. Any advance payments for services not yet provided in whole, would normally be refunded, but we would have no other liability.
5. Use of Westwood Lodge
We must comply with fire and safety regulations. Therefore the number and names of persons staying overnight, must be as agreed with us. You are responsible for any day visitors you invite and whose numbers and behaviour must not be unreasonable. We reserve the right to refuse entry to your entire party if this is not observed.

You agree to take all reasonable and proper care of your unit(s) and other areas of Westwood Lodge. This includes keys, furniture, pictures, fittings and effects. You agree to leave everything in the state of repair and condition that it was at the commencement of your stay.

Any breakage, loss or damage must be advised to us immediately. If we deem it necessary, you agree to reimburse us for replacement, repair or cleaning costs on demand.

If you wish to bring in an electrical item over 1 Kilowatt in power, or other items of equipment, you will need our agreement. Gas powered items and equipment involving heated oils (such as deep fat fryers) are not permitted indoors.
The only permitted naked flames indoors are our gas/open fires and our safety candles and recognised safety nightlights.
Nothing dangerous can be brought in. If something of this nature comes in, it must be taken off the premises promptly and permanently.
We take pride in being a smoke-free location. Should we find evidence of smoking indoors (including in porches, near entrance doors or through open windows), the stay of your party will be regarded as bringing our reputation into disrepute and treated accordingly. In addition a minimum charge of £150 (plus VAT) would be made to cover cleaning and staffing costs to try to restore the accommodation for our next guests.
6.

Vehicles

Unreserved parking is offered, subject to availability, for one licensed and taxed vehicle per unit. Additional parking may be available depending on demand. Large vehicles such as sports utility vehicles, vans, lorries, motor homes, trailers, caravans etc. are not permitted on the premises due to space constraints.

Vehicles may only be parked in the designated places and not on the lawns or in such a way as to cause a blockage. Any visitors during your stay and any large/ extra vehicles will need to park on Westwood Drive, where there are no parking restrictions.

Our premises are protected by electronic automated gates. If you choose to park inside the gates, you accept that we will not be held responsible for any delays resulting from you being unable to remove your vehicle due to any problems with their operation.

No work is to take place on vehicles, other than of a minor nature, without our agreement. This includes car washing, valeting etc..
7.

Pets

Whilst we appreciate that your pet is an integral part of your family (we have pets too!), previous experience has resulted in the need for a few rules and restrictions.
Currently, up to two well-behaved dogs are allowed in certain cottages, by advance agreement. They are not allowed elsewhere in our buildings (except working dogs). No other pets are permitted without our advance agreement.
Dogs must be properly supervised at all times and must not be left unattended in your unit, or in a vehicle parked here, unless you are on the premises.
When in our grounds, dogs must be kept on a leash and must not be allowed to foul anywhere within the boundaries of Westwood Lodge. Accidental fouling must be removed immediately by you.
Dogs are not allowed upstairs in cottages or on any furniture.
You must provide a dog basket for your dog(s) to sleep in.
A breach of these conditions may result you being required to remove your dog from our premises. In exceptional circumstances, for example, if you have left your dog here unattended, we reserve the right to remove your dog to kennels (at your expense) without notice.
8.

Health and Safety

Your safety and well-being is of our utmost concern. We have fire and other safety policies in place. You agree to make yourself and members of your party familiar with these and to comply with them during your stay with us. Care must be taken by all guests. In particular, parents must ensure that children are properly supervised at all times. Children under 16 are not allowed in any part of the main house unaccompanied by an adult.

9.

Insurance

In addition to our cancellation scheme, we act as agents for a holiday and personal insurance policy. Such insurance is optional but recommended.

We accept no responsibility for your personal possessions, wherever they are situated. You must ensure that you have adequate insurance to cover possible loss, damage or theft.

10. 

General

We will do everything reasonable to make your stay an enjoyable one. Any problem should be brought to our attention as soon as possible. We will do our best to rectify things. In the event of a complaint, you would put details in writing to enable us to respond within 7 days. You agree not to withhold payments to us, other than those specifically concerned with an outstanding complaint.
Although we endeavour to offer a full range of services, we accept no liability if certain facilities are not available during your stay, particularly out of season.
If you request us to arrange for an outside supplier to provide you with a service, you agree to be responsible for their bill and to absolve us of any liability if they fail to provide such services in part or full

You confirm that you are not acting on behalf of someone else or some other organisation, not already advised to us.
